We are looking for a People Operations Coordinator that has a strong interest in growing their experience within People Operations and Systems. In this role, you will drive various processes and perform administrative tasks to support the employee lifecycle while gaining a deeper understanding of people processes and HR systems. We are looking for candidates that have a strong passion for People Operations and Systems and a drive for continuous process improvement while providing great customer service.
This role will be based in our Redwood City office.
Responsibilities: Coordinates and completes the onboarding process starting from collection and validation of all necessary onboarding forms (e.g. validating I-9s, completing E-Verify, etc.) and owns data entry of new hires into the HRISFollows established process to ensure any employment changes have received necessary approvals and creates necessary employee communication documents utilizing established templatesMaintains the integrity, confidentiality and accuracy of human resource files and records in both the HRIS and employee filesAdministers the off-boarding process for departing employees and notifies People Business Partners for any necessary follow upAdministers the immigration process by being the main point of contact for employees, People Business Partners, Managers, and external immigration counsel to facilitate various immigration processes and requirementsEnsures compliance with federal, state, and local employment laws and regulations, and company policies by updating required postings and policiesSupports audits/reviews of various people operations processes and recordsAdministers Purchase Orders and invoices on behalf of the People Operations teamReviews all People team mail to distribute to appropriate partners and responds to employment verifications and unemployment claimsRecommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performedServes as back up for the People Operations Analyst when neededOther duties as assigned
Desired Education, Skills and Abilities:BA/BS completed or in progress or equivalent in a related field is preferredAt least two years of experience as an HR Coordinator with very strong organizational and administrative skillsHighly computer literate with working knowledge of G-Suite for email, document sharing and calendar and MS Office tools (Microsoft Word, Excel and PowerPointExperience with HR databases, HRIS systems and ATS Software (e.g. Oracle Fusion, ADP Workforce Now and Lever)Ability to handle data with confidentialityExcellent written and verbal communication skillsWorks well under pressure and meets tight deadlinesFantastic organizational and time management skillsMeticulous attention to detailExperience working both independently and in a team-oriented, collaborative environment
